CRMs, like languages and climate, tend to be geographic. One agency in a specific area starts using a CRM, another agency sees the CRM advertised at the bottom of their website, they then use that as well, and the process repeats.

However, just because the majority of real estate agencies in an area use one particular CRM, that does not mean it is the best, or even a good fit for your business.

You can think of the CRM software and CMS platform as the engine rooms for your real estate business in Spain. The CRM – customer relationship management – is what you use to effectively manage the communication and marketing to both your property buyers and property sellers.
The CMS – content management system – is simply an easier way for you to manage the content on your website. The CMS can be provided by the company that provides your CRM, or it could possibly work with your existing website.

The reality of CRM software providers in Spain.

The majority of CRM providers in Spain offer more or less the same functionality. There are a few though that provide some exceptional benefits, especially relating to SEO, and client communications.

With most CRM packages you are able to perform property matching, email marketing, automated emails, XML feeds to portals, content in multiple languages, keep records of client interactions, and generate analytical reporting. However, what sways most people is usually not the CRM, but the CMS (content management system) and the website. And specifically, the look and feel of the website. The CRM can have all the bells and whistles, but if the CMS is difficult to use, and the website looks old and clunky then many potential real estate agencies will continue their search, and for very good reason…

Your website does not only serve a functional purpose, its appearance is also a reflection of how your business functions. Like it or not, when potential clients look at your website they will make conscious or subconscious deductions about your professionalism, service, skill level, trustworthiness, and how much of an authority you are in the area. There are some excellent examples of how to structure a CMS for maximizing organic traffic, and some of Spain’s major real estate portals provide perfect models. Review of Spain’s Top CRM Software for Real Estate

Infocasa Review

Automation. InfoCasa offers multichannel lead capture from websites, portals, and emails. It supports automatic lead assignment and task scheduling, streamlining follow-ups and client engagement.

Marketing. You can integrate with many of the major Spanish and international property portals, (ensuring automatic updates). They also provide the option of different property lists for different portals. For example: luxury listings for LuxuryEstate, and budget properties for A Place in The Sun. You can also share to your social media platforms like Facebook, Twitter, and Linkedin. They offer an MLS system (mostly Southern Spain) where you can easily collaborate and market listings with other agencies in the network. You can also choose to display some or all of the MLS properties on your website.

Client Management. The CRM centralizes all client interactions in a central database so that you can easily track communications. You can filter clients based on preferences and then send automated personalized messages via email and SMS. (This is standard functionality for most CRMs.)

Analytics. Receive detailed performance reports on leads, agent productivity, and property listings. There are forecasting tools to assist in business planning.

Ease of Use. The CRM is mobile-optimized, which means agents can work on the go, logging in via cellphone. It is scalable, and supports growing real estate agencies with additional users, properties, and features.

Prices. Packages start from around €200 per month, while website design starts from €1500 and increases depending on the amount of languages required.

Additional Notes: When we happened to check a few of their example websites, we experience timeouts from their server. The structure for SEO optimization is not optimal, which could affect your potential website traffic and the number of leads you can generate. We feel the price for the CRM and website is a bit steep, especially when compared with other options available.

Sooprema Review

Automation. Sooprema integrates with more than 40 national and international property portals, allowing automatic lead capture from sites like Idealista, Fotocasa, Kyero, and others. Agents can automate follow-up emails and reminders for leads, improving efficiency. Leads can also be routed to agents based on specific criteria.

Marketing. Includes a built-in email tool for newsletters, property updates, and automates client communication with unsubscribing features.

Client Management. The CRM includes tools to manage client communications, send properties via email or WhatsApp, and can track client preferences to improve relationship management and lead generation.

Analytics. Standard reporting on leads, agent performance, and sales, with some customizable reports on sales, and client activity, but lacks advanced forecasting or predictive analysis.

Ease of Use. Intuitive interface, easy to navigate for smaller teams. Good mobile support, allowing agents to manage leads, email responses, property matchings, and phone contacts when out of the office. Agents can also search similar properties near them when they are with clients.

Sooprema is user-friendly, mobile-optimized, and scalable, allowing for unlimited users and properties, making it suitable for growing real estate agencies, however large organizations may need more support and advanced customization.

Prices. Packages start from around €29 per month for 50 properties to €99 per month for 2500 properties, while website design starts from €300 and increases depending on the amount of modules required (holiday rental, promotions, and projects).

Additional Notes: Sooprema is valued for its simplicity and affordable pricing, and they provide the necessary building blocks for a good SEO structure – you will need assistance from a professional. That said, there are issues with image resizing, which can result in slow page load times on dynamic results pages (bad for SEO). Website themes are a bit limited, which means that many websites have a similar design. There is also a lack of attention to detail and finesse in some designs, and some website sections appear outdated and unharmonious. Customization is also limited and all website changes and improvements need to be communicated to, and done by, Sooprema, which may not suit certain organizations.

Sooprema does offer a cost-effective solution for small and mid-sized agencies, however agencies seeking a more modern or luxurious website design may find challenges, while larger agencies might find more advanced features in competing platforms.

Inmoba – Inmobalia CRM Review – Pro Package

Automation. Automatically capture leads from multiple channels, including websites, property portals, and online forms. Increase your agency’s efficiency and reduce manual workload by automating follow-up emails, scheduling property viewings, and managing agent tasks. Automatically distribute leads to the most suitable agents based on location, specialization, or availability, to ensure quick and helpful responses from your team.

Marketing. Receive full integration with most major property portals to ensure your listings are updated across platforms automatically (only with pro package). Agents, team leaders, and marketing assistants can create and manage email campaigns to send targeted newsletters, property updates, and automated emails to clients (some limitations depending on package). Basic integration with social media platforms to share properties on Facebook, Twitter, and other platforms. They offer their own MLS networking service for both resale properties and developments where you can collaborate with other agents and developers (only Costa del Sol).

Client Management. All client interactions, such as emails, phone calls, and meetings, can be tracked to enable a complete overview of each client’s history and preferences. Clients can be segmented based on criteria like property preferences, buying history, and interaction levels.

Analytics. You can generate customizable reports like agent performance, lead conversion rates, and property listings. Receive insights into client behaviour, and property views. Use forecasting tools for info on market trends and demand to adjust sales strategies accordingly.

Ease of Use. There are plenty of tools, responsive support, and an intuitive interface to facilitate easier learning for agents. Agents can access the CRM, manage leads, update listings, and communicate with clients directly from their smartphones or tablets while on the go.

Prices. Their smaller packages do not offer feeds for all the major property portals and because this is very important, we have based prices on the pro package (which is comparable to what other top CRMs offer).
€450 setup fee, and roughly €360 per month for unlimited portals feed.
Website design begins from multiple thousands of Euros (roughly €5.000 – €10.000), and increases to many more depending on the amount of languages and customization required. There is also a yearly maintenance fee of roughly €400 for a basic website.

Additional Notes: Inmoba offers a robust and modern website structure, from which it’s possible to optimize well for SEO – you will need to pay extra for this. Their page load times are very fast (indicative of good web design and a quality server), and the look and feel of their websites is modern and pleasing. Their target market is mostly luxury real estate agencies within the Malaga Province, who will generally speaking have a larger marketing budget than the average real estate agency in Spain. That said, there are one or two other CRM and CMS providers in Spain who can offer similar functionality and are a lot gentler on the budget. Contact us for more information.

b) eGO does the design from your choice of one of their 8 premium templates. This will include 3 languages. Price €3500 + VAT

Inmovilla CRM Review / Idealista Tools CRM Review

Idealista acquired Inmovilla in April 2022.
Inmovilla is arguably the most popular CRM for real estate agencies in Spain, and it’s also one of the oldest.

Automation. Inmovilla offers similar automation and lead management to other leading CRMs in Spain.

Marketing. You are able to share property listings to social media platforms. However, social media integration is focused on property promotion rather than comprehensive social media management. They offer their own MLS. Properties tend to be located throughout Spain, and of a lower budget generally speaking. You can publish your listings to more than 30 property portals.

Ease of Use. Training resources are available. These can be a little complicated and some agencies may find the need to pay for extra training.

Prices. €79 per month.
The website design is outdated, and the overall appearance could benefit from a more polished and modern touch to enhance its professionalism. It’s difficult to customize the website (beyond what you can do with the builder blocks), or improve the conversion rate for your website traffic. Hopefully the design will get a complete overhaul in the near future.
On the positive side, the website is very easy to put together even by people with no web design experience. This is done by selecting content blocks, which can be placed in certain positions on a web page.

Additional Notes: If you need a basic CRM and website, and plan to perform most of your portal marketing on Idealista then Inmovilla might make sense. They offer discounts to Idealista and access to a range of their tools.

While Inmovilla provides reliable and responsive customer support, this does not offset the lack of customization and the steep learning curve for advanced features. If you are planning a more thorough national and International portal marketing campaign and need a modern website that better reflects the professionalism of your agency, then you might want to select one of the more recent CRMs that offer more intuitive interfaces and greater functionality.

Mediaelx CRM Review

Mediaelx offers a similar CRM software to the majority of standard CRM providers in Spain. Their website works with a standard block system (where a page is constructed using sections that sit atop one another). Customization on Mediaelx, like with Inmovilla, is difficult, however on Inmovilla’s platform (and most others) you can make small improvements to the overall structure and content yourself. On Mediaelx, everything is first approved by them, and the client gets charged. And no insignificant amount, either.

We have worked with 2 separate clients who were subscribed to Inmovilla. We requested improvements to the copywriting and slight structure changes in order to optimize the conversion rate. On both occasions, Mediaelx refused to make these basic content and layout changes. On another occasion, and after doing a keyword investigation for a client in all the important buyer languages, we suggested that an additional language would be a benefit to their business. They were quoted a very large fee for something that many CRM providers will do for a small charge – actually, many good CRM providers usually include the majority of important buyer languages when they first design your website; even suggest it.

We have found the SEO structure that Mediaelx provides on the majority of their websites to be poor. On one occasion, that we saw, Mediaelx attempted to perform SEO on one of their client’s websites, by using keyword phrase stuffing. In this strategy, you use the same exact keyword phrase in the Meta title, Meta Description, headers, and paragraphs. For example, on this page I would need to place the phrase “real estate CRM Spain” in all my Titles, Headers, and content. You won’t find us doing that. The content on this page is written for the reader, not the search engines. This strategy is not recommended by Google or other search engines, and seen as trying to manipulate the search engines. A website that has this strategy will most likely be penalized in one of the search engine algorithm updates.

Resales Online Review

Resales Online offers comprehensive lead capture capabilities from property portals, emails, and messaging from other agencies, with the ability to automate follow-ups and reminders.

The primary feature of Resales is its B2B multi-listing service, which enables you to share your property listings to a large network of real estate agents, and to also publish properties from other agencies on your website. You can use filters to decide which properties you publish on your website, in addition, the new developments module allows you to publish a variety of new builds in your region.

In terms of reporting, there are basic tools for tracking performance metrics like sales, leads, and property views. However, it lacks more advanced analytics for deep insights into client behaviour or marketing effectiveness.

Prices: Networking fees are €150 per month, new developments €50 per month, or €170 per month for both.

Overall, Resales Online is ideal for agencies that heavily rely on multi-listing services and only require basic CRM functionalities. You should be aware though that some agencies have expressed concern with the quality of listings in the network. See Google reviews.

Inmotek CRM Review

Inmotek (by Saresoft) offers lead management with tools designed to automate property publication.

Their primary focus is automating the publication of properties to various Spanish portals, and sharing properties and leads on the Inmotek MLS group. It offers a mobile app that allows agents to manage listings on the go. However, the system lacks more advanced features for email marketing and social media integration, limiting its outreach potential in these areas.

In terms of reporting, Inmotek offers basic performance tracking tools but falls short in delivering detailed analytics on client behaviour or marketing effectiveness, which may be a drawback for agencies seeking deeper insights.

The website’s design is clean but quite basic, with a simple interface that serves its purpose but lacks advanced features. Additionally, the SEO structure of Inmotek websites is weak, meaning their clients’ websites may struggle to attract organic traffic from search engines.

Overall, Inmotek can be a good fit for agencies that focus on the Northern Spanish market and prioritize ease of use in managing property listings. Its simplicity and emphasis on multi-listing services make it appealing for smaller agencies that need straightforward lead and listing management without requiring more advanced marketing tools or analytics.

Inmoweb CRM Review

Inmoweb, based in Madrid, can be a cost-effective choice for agencies who are seeking a simple CRM with a national MLS.

They offer integration with major Spanish and International property portals and offers some basic email marketing features. It includes client and property matching tools but is limited in terms of advanced client segmentation and communication automation.

You can perform basic reporting to track key metrics like property listings and client leads, however its analytics are not as detailed as other top real estate CRMs when it comes to marketing effectiveness or client behaviour.

A lot of users appreciate the platform’s ease of use, particularly for small to mid-sized real estate agencies. It offers essential features like listing on multiple property portals, publishing MLS properties to your website, and integration with WhatsApp and Google Calendar. However, users have raised concerns about its limited advanced marketing features, such as email campaign automation and social media integrations, when compared to more robust CRMs.

Their websites are clean, with good load times, but only offer basic functionality. The SEO structure is lacking, and agencies will likely struggle to attract a decent amount of traffic or leads.

Optima-CRM is a real estate software solution that manages property listings, transactions, and client relationships. It integrates with over 40 property portals, automates lead generation, offers AI-powered content creation and provides a Virtual Assistant for websites using the WhatsApp Business API (extra fee). The platform supports franchise management (extra fee), and customizable workflows, and works with both commercial and residential property types. You can collaborate with their private MLS network (extra fee) and integrate your email and calendar systems.

Additional functionalities include property alerts, email sends, reminders, automated window card generation, and a FSBO (extra fee) for sale by owner section.

Prices: CRM from €230 per month for 5 users. Website design from many thousands of Euros.

Additional notes: We checked a number of their user’s websites and found page load times to be a bit slower than other CRM providers that are charging a premium.
The ability to have a reasonable SEO structure is there, however, many of the sites we looked at are not taking advantage of this (even basic Meta Tags are missing). This would suggest important SEO optimization information is lost between the CRM provider and the client, or it’s only available for an additional fee.
Website look and feel is clean and functional. Some aspects are a bit dated.

Other real estate CRMs in Spain

Mobilia: Comprehensive features and portal integration, but may lack advanced customization. Some smart website themes, good SEO, but extra fees for additional users and emails can add up quickly.

Gestioninmo
: Holiday accommodation, long term rentals, and sales CRM. Websites offer poor visual experience and a little outdated. Affordable with basic functionalities, but can be limiting for larger agencies.

IA Gestión
: CRM for property administration. Good for automation, though the user interface could be more intuitive.

HabitatSoft
(by pisos.com): Clean but basic design. Strong for portal connections but limited in broader CRM flexibility. Discounts available with pisos.com

Witei
: Now owned by Adevinta (also owns Fotocasa and Habitaclia). Average CRM. Few website customization options available. Somewhat outdated website designs with poor SEO structure.

Inmobigrama
: Outdated CMS technology poor SEO structure, and poor visual experience. Offers some essential CRM features, but lacks modern innovations.

ClickViviendas
: Same as with Inmobigrama, ClickViviendas provides a broad range of tools, however the CRM interface is outdated and the website provides a poor user experience,

InmoPC
: As with ClickViviendas and Inmobigrama, InmoPC is an affordable option, but the user experience is clunky and seems to use old technology.

Qobrix, InmolinkCRM (good option if you have a WordPress website and only need CRM integration), Inmogesco, Inmoenter, SBInmo, Artekasa, Infocasa, Realtyware, easyinmo.

So many real estate CRMs to choose from. It’s confusing!

There are many CRMs available in the Spanish marketplace, each promising a lot, so it can be overwhelming finding the right partnership for your agency’s specific requirements.
Here are some important questions you can ask a potential CRM and CMS website provider to make the task a little easier, and to gain some important insight.
